CURRENT OPEN POSITIONS:

Registration Specialist (preferred bilingual Spanish) – Wichita, KS 
Accident and Work Injury Clinic- Concierge Medicine of WichitaWichita, KS

Provides critical first contact between patients and Accident and Work Injury Clinic. Professionally greets and directs patients through the office, schedules follow-up appointments, and updates pertinent information in EHR ( electronic health records) database. Determines insurance eligibility. Verifies applicable insurance and thoroughly documents and reconciles daily patient cash/credit card transactions. 

Reporting Relationships : The Registration Specialist has a primary obligation to the Corporation as a whole and reports to the Clinic Manager. 

Duties & Responsibilities: 

  • Greets and registers patients arriving for an appointment, helps patients feel welcome and transfers charts to back office in a timely manner.
  • Verifies necessary information for patient appointments to include; patient information is current in EHR software, insurance requirements (e.g. referrals), and type of clinical visit.
  • Verifies patient information including demographics and medical insurance coverage, if applicable, each and every time a patient comes to the clinic. Ensures action is corrected and noted in EHR as needed.
  • Interacts with patients regarding financial status of account, including understanding of patient account history.
  • Determines and collects payments; insurance copay, lab and clinic charges as appropriate.
  • Processes cash and credit/debit card payments received and posts payments to appropriate charges.
  • Reconciles all cash, checks, and credit card charges daily.
  • Prepares daily deposit transmittal.
  • Answers incoming telephone calls, determines the nature of the call and refers the call to the appropriate person or takes an accurate message with the date and time of the call.
  • Prepares paperwork for patients to complete in advance of appointment.
  • Documents patient cancellations and failure to show for appointment per protocol.
  • Receives deliveries, and distributes them to appropriate personnel.
  • Maintains cleanliness and orderliness of reception work area and the waiting area.
  • Obtains patients income verification documents and medical insurance information if applicable.
  • Assists in the development and documentation of protocols related to his or her job functions.

  • Able to provide innovative input into the development of the office environments and its processes.

  • Able to comprehend established office routines and policies.

Education and Experience: 

  • High school diploma or equivalent required.
  • Additional training and/or experience in office procedures and medical terminology preferred.
  • Previous medical receptionist experience or background in general office work preferred.
  • Previous customer service experience.
  • Previous multi-line telephone and computer experience preferred.

Qualifications: 

  • Bilingual Spanish preferred.
  • Understand ethics of confidentiality.
  • Successful candidate must submit to TB testing and any vaccinations recommended by OSHA guidelines.

Working Conditions: Medical office environment. Multi-task oriented position. May require sitting for long periods of time. Bending, stooping, and lifting (up to 30lbs) may be required. Must interact with patients, the general public, other office personnel, and physicians. May involve contact with angry, upset or ill persons. Must have visual acuity and manual dexterity to interface with computer. Must have auditory acuity to handle heavy phone call load and interact with patients effectively. 

Work Schedule: 8-5 Monday to Friday.

In the course of your work, you will have access to confidential information regarding patients, and/or the practices’ confidential business. It is essential that you refrain from any discussions regarding personal information about a patient, a patient’s condition, a patient’s finances, proprietary company information, and/or the practices’ confidential business with any third person. This includes, but is not limited to, other employees, your spouse, family or friends. CONFIDENTIALITY IS SO IMPORTANT THAT ANY BREACH OF THIS POLICY WILL BE CONSIDERED GROUNDS FOR TERMINATION. Review and signature of the Agreement is a condition of employment. Successful skills testing, drug screen, and background check required for employment.
